CANCELLATION & EQUIPMENT POLICY

CANCELLATIONS

We understand life happens. To receive a full refund of your deposit, cancellations must be made at least 48 hours before your scheduled delivery time.

Cancellations made 48+ hours before delivery — full deposit refund

Cancellations made less than 48 hours before delivery — deposit is non-refundable

No-shows — deposit is forfeited and remaining balance may be charged

WEATHER POLICY

We want your event to be amazing — and we want our equipment safe. We monitor weather closely and will always work with you.

Before Delivery:
If severe weather is forecasted for your rental date, we will contact you to discuss rescheduling. No deposit will be forfeited for weather-related reschedules.

During an Active Rental:
If weather moves in during your rental period (rain, high winds, lightning), you are required to:

  1. Immediately move all equipment to a covered, dry location
  2. Send us a photo confirming equipment is safely secured
  3. Contact us at 918-817-9256

If equipment cannot be safely secured, we reserve the right to pick up the equipment immediately and return it once weather has cleared at no additional charge.

Failure to protect equipment from weather damage will result in damage fees as outlined below.


EQUIPMENT CARE & DAMAGE POLICY

Our equipment is professionally maintained and delivered in excellent condition. We ask that you treat it with care so the next family can enjoy it too.

Your Responsibilities:

  • Do not move or relocate equipment after setup without contacting us
  • Keep all equipment away from open flames, sharp objects, and excessive moisture
  • Do not allow children to climb on or hang from the any equioment we provide
  • Secure all cables and cords to prevent tripping hazards
  • Do not attempt to repair or modify any equipment

Damage Fees:

Damage Type Fee
Minor damage (small tears, scuffs, dirty equipment) $50 cleaning/repair fee
Moderate damage (screen puncture, speaker damage, cable damage) $150 flat damage fee
Total loss (projector, full screen destruction, stolen equipment) Full replacement cost



EQUIPMENT RETURN

All equipment will be picked up the morning following your rental between 8–11am. Please ensure:

  • All equipment is accessible for pickup
  • Nothing has been moved from the original setup location
  • All included items (cables, remotes, microphones) are accounted for

Missing accessories will be charged at replacement cost.
