Rental Agreement & Terms of Service

By placing a reservation with Big Screen Party Rentals, you agree to the following terms and conditions.

1. Reservation & Payment

A reservation is confirmed once the required deposit has been paid.

The remaining balance is due according to your booking confirmation and must be paid before or at the time of delivery unless other arrangements have been made.

Failure to pay the remaining balance may result in cancellation of the reservation.

2. Delivery Area

Delivery is included within our standard service area.

Additional travel fees may apply for locations outside our normal delivery radius.

Someone 18 years of age or older must be present during delivery and pickup.

3. Delivery & Pickup Times

Our standard delivery window is:

5:00 PM – 8:00 PM

Our standard pickup window is:

8:00 AM – 11:00 AM the following morning

Specific arrival times cannot be guaranteed due to delivery routes.

4. Equipment Included

Rental packages include only the equipment listed in the package description.

Optional add-ons must be reserved before delivery and are subject to availability.

5. Customer Responsibilities

The customer agrees to:

  • Provide a safe setup location.

  • Ensure access to electrical power within 100 feet of the setup area.

  • Keep children supervised around all equipment.

  • Prevent guests from climbing, hanging, or pulling on the screen or equipment.

  • Protect equipment from pets.

  • Notify us immediately if equipment is damaged or stops working.

The customer is responsible for the equipment from delivery until pickup.

6. Setup Requirements

The setup location must be:

  • Relatively level

  • Free of excessive mud

  • Free of animal waste

  • Accessible for setup equipment

  • Large enough for the selected package

If the location is unsafe or unsuitable, Big Screen Party Rentals may refuse setup without refund.

7. Weather Policy

Customer safety is our highest priority.

Outdoor equipment cannot be operated during:

  • Lightning

  • Heavy rain

  • Severe storms

  • High winds

  • Conditions that may damage equipment

If unsafe weather develops before or during the rental, Big Screen Party Rentals may delay, postpone, or terminate the rental.

Whenever possible, we will work with customers to reschedule.

Weather-related decisions are made solely by Big Screen Party Rentals.

8. Prohibited Uses

Customers agree NOT to:

  • Move equipment after setup.

  • Allow anyone to climb on the movie screen.

  • Smoke or vape near the equipment.

  • Place grills, fire pits, fireworks, candles, or open flames near the equipment.

  • Modify cables or electrical equipment.

  • Use equipment for commercial events unless approved in advance.

9. Damage

The customer is financially responsible for damage caused by:

  • Negligence

  • Intentional misuse

  • Theft

  • Missing equipment

  • Pet damage

  • Vehicle damage

  • Fire

  • Water damage caused by customer negligence

Normal wear and tear is expected and will not be charged.

10. Technical Issues

If equipment experiences a malfunction, the customer agrees to contact Big Screen Party Rentals immediately.

We will make every reasonable effort to resolve the issue as quickly as possible.

Refunds or credits are determined based on the circumstances and the amount of rental time affected.

11. Cancellation Policy

Cancellations made at least 7 days before the reservation may receive a refund of the deposit or a booking credit.

Cancellations made within 7 days may result in forfeiture of the deposit.

Weather cancellations approved by Big Screen Party Rentals may be rescheduled based on availability.

12. Liability

The customer assumes responsibility for all persons using or near the rented equipment.

Big Screen Party Rentals shall not be liable for injuries, accidents, property damage, or losses arising from misuse, negligence, improper supervision, weather conditions, or circumstances beyond our reasonable control.

13. Photo Permission

Unless requested otherwise, Big Screen Party Rentals may photograph equipment setups for marketing purposes.

No names or identifying personal information will be published without permission.

14. Right to Refuse Service

Big Screen Party Rentals reserves the right to refuse or terminate a rental if:

  • Conditions are unsafe.

  • Equipment may be damaged.

  • Customers become abusive or threatening.

  • Fraudulent information has been provided.

15. Acceptance

By completing your reservation, you acknowledge that you have read, understood, and agree to these Rental Terms and Conditions.
